Privacy Policy

1. Who we are

SitePlanMaker is a service of MTTenterprise Inc., an Ontario corporation based in Ottawa, Canada. This policy applies to the SitePlanMaker website, workspace, document processing, permit-requirement research, billing, and support services.

MTTenterprise Inc. is responsible for personal information under its control. Privacy questions and requests may be sent to [email protected].

2. Information we collect

We collect only information reasonably needed to provide, secure, bill for, and improve the service.

• Account and contact information, including your name, email address, login security settings, and organization membership.
• Project and property information, including addresses, measurements, drawings, comments, municipality selections, and revision history.
• Documents you choose to upload, such as surveys, parcel maps, sketches, photographs, legal descriptions, and permit checklists.
• Billing records and transaction identifiers. Stripe processes card details, and SitePlanMaker does not store complete payment-card numbers.
• Technical and usage information, including IP address, browser and device details, security events, feature use, and error logs.
• Support communications, feedback, and any files or screenshots you send to us.

3. How we use information

• Create and operate your account, projects, workspaces, reviews, and exports.
• Store and display your private project files and generate the outputs you request.
• Run document extraction, drawing assistance, readiness checks, and official-source municipality research.
• Process payments, allocate project credits, prevent fraud, and maintain accounting records.
• Secure, diagnose, support, and improve the service.
• Meet legal obligations and enforce our agreements.

4. AI and document processing

When you request an AI-assisted feature, the information needed for that feature may be sent to selected AI, OCR, or infrastructure providers acting for us. This may include text or images from an uploaded document. We limit the request to what is needed for the selected function.

We do not sell private project documents. We do not intentionally publish them or place them in public training datasets. Third-party providers process information under their own service terms, privacy commitments, and our configured account controls. 5. When we share information

We may share information with service providers that host data, process payments, send email, monitor reliability, or provide document and AI processing. These providers receive information only for their assigned function.

• With project collaborators, client reviewers, or permit authorities when you direct us to share or export information.
• With law enforcement, regulators, courts, or other parties when required by law or reasonably necessary to protect rights and safety.
• As part of a financing, merger, acquisition, reorganization, or sale, subject to appropriate confidentiality and notice requirements.

6. Cookies and similar technology

SitePlanMaker uses essential cookies for sessions, authentication, security, preferences, and checkout. If we introduce optional analytics or advertising cookies, we will provide any consent controls required by applicable law.

7. International processing

We are based in Canada, but some service providers may process information in Canada, the United States, or other countries. Information may therefore be subject to the laws of the place where it is processed.

8. Security

We use administrative, technical, and organizational safeguards designed to protect personal information, including authenticated access, private object storage, transport encryption, access controls, and security logging. No online service can guarantee absolute security. Keep your account credentials confidential and contact us promptly if you suspect unauthorized access.

9. Your choices and rights

• Access or correct profile and project information through the workspace or by contacting us.
• Download project outputs and request a copy of personal information we hold about you.
• Delete your account from profile settings. Active project files are removed from primary storage as part of account deletion, subject to backup and legal-retention exceptions.
• Object to or restrict certain processing, withdraw consent where consent is the legal basis, or make a privacy complaint.
• Unsubscribe from non-essential marketing messages without affecting service or security notices.

10. Children

SitePlanMaker is not directed to children under 16, and we do not knowingly collect their personal information. A user must be able to enter a binding agreement in their jurisdiction.

11. Retention and changes

We keep information only for the periods described in the Data Retention Policy, unless a longer period is required for security, disputes, tax, accounting, or legal obligations.

We may update this policy as the service or law changes. Material changes will be identified by a new effective date and, when appropriate, notice in the service or by email.
